Please confirm the number of tickets being sold. Your publicity suggested 1,000, yet you only have a licence for 499 and the TEN only allows for 499 including staff, security and musicians. A copy of your Public Liability insurance would be reassuring as this will be quite specific.
A copy of our license would be the most specific document and you are welcome to it once it has been sent to us, the license has been approved and will be displayed on site. Please ignore any online statements suggesting the festival is for 1000 people, this is because the original festival in North Devon was for 1000, however we have halved the capacity for Bude, out or respect for the local community. Google will however pick up on the original festival promotion, everyone on our email list is aware that only 500 are available and we are not in the habit of unlawfully running events, nor do we intend to be.
What are the dates of the Festival? It was suggested access would be allowed from Thursday 11th July 2024 to reduce traffic impacts, yet you only have a licence from 12th July for two days.
The festival is from 12-13th however as stated on our website under the FAQ’s section weekend campers can set up their pitch on the 11th which is not licensable as we will not be selling alcohol or playing music, this is to avoid any congestion in the lanes.please expect no more that 250 vehicles over 3 days.
How are you going to ensure the site is secure? What would happen with non-ticket holders? How about checking the ages of attendees?
The site will be managed by an experienced festival security team named Kapar Security, the official security for Leopolooza. Non-ticket holders will not be given entry, We operate a challenge 25 policy which we are extremely strict on, anyone who looks under 25 will be asked for ID and refused entry if they do not have suitable Id. The premises will be heras fenced in al relative areas.
How is road access going to be monitored, including access to the holiday cottages at Knowle Farm? What signage is being provided and are banksmen being provided at the bridge section of the unclassified road leading to Kitsham? Will security be provided for 24 hours, i.e. overnight patrols around the campsite?
Road access is monitored by trained traffic stewards to run festival traffic management every year. We will place them in the necessary places around the site . Priority access will be given to Knowle Farm and their guests, we will need their car reg numbers for security, we will also give them a priority access card for their vehicles. I will contact them directly.
There will be one public crossover in the lanes, all public crossing will be stopped to allow access for The Knowle owners and guests. It is worth noting that once people are onsite they are not allowed to leave and re-enter meaning traffic is one way to everyone other than suppliers. We have operated much larger events in smaller lanes and this will not be an issue. SIA Security will be there until 1am once everyone is back at the campsite and music is finished, however, we will have site crew patrol the site at night to ensure anyone straying from the campsite is sent back.
The noise element of the Festival was raised as a significant concern, particularly to nearby residents. You suggest DJ music would stop at 11.00pm but acoustic music would continue until 12.30pm in a barn with doors shut – what are the decibel limits that will apply and who is enforcing these levels? How will you ensure no noise is made after 12.30pm?
I understand your concerns. Music Noise Level (MNL) measured over a 15 minute period (LAeq,15min) at the boundary of any noise sensitive premises shall not exceed a level 65dB(A) during the daytime (defined as between the hours of 09.00 and 00.30) on any day. It is considered that the guidance condition provided by Cornwall Council Environmental Health can be met and that monitoring of the event is not required to ensure that a level of 65dB(A) will not be breached
between the hours of 09:00hrs and 00.30:00hrs. A calculation is applied based upon the following statements, acoustic principles, and the information provided by FUTF.
No late-night performance beyond 00.30:00hrs is strictly proposed.
The site is required to maintain MNL ≤65dB(A) at nearby noise sensitive property.
The stage is situated within an agricultural building which is likely to provide additional
sound insulation, a minimal sound insulation expectation of ≥10dB(A) is a reasonable
expectation. The secondary stage is located at similar distance and orientation and
benefits from acoustic screening from existing buildings and a minimal sound
insulation expectation of ≥15dB(A) is a reasonable expectation.
Stage performance levels at festivals, concerts and larger events are typically
≤94dB(A) at 30m for external events and more typically ≤91dB(A) inside venues or
tents as a more diffuse measurement. 94dB(A) at 30m is applied for robust analysis.
Air absorption, ground absorption and other environmental effects are likely to
reduce levels further with distance but have not been applied for the purpose of
robust analysis.
Other buildings, topography and vegetation that interrupt the sound pathway
between the source and the receiver are likely to reduce levels further but have not
been applied for the purpose of robust analysis.
A prediction measurement at nearby dwellings can be made using the following formula:
Noise source 94dB(A) at 30m – stage orientation 6dB(A) – 20log(30m/205m) – sound
insulation 10dB(A) = Level at receptor 61dB(A).
The level at nearby noise sensitive premises is predicted at ≤61dB(A)
noise management inclusions for event management plans’ which requires that the Music

We will provide neighbors with a direct text number for the sound crew. Noise from the campsite is monitored however no sound systems are allowed in the campsite. Anyone making a large amount of noise will be dealt with by security.
Who is providing the alcohol on site? Will you be allowing visitors to bring their own alcohol and, if so, how will this be controlled both within the Festival area and in the camping area? What are the times of the alcohol sales being allowed?
The bar is run by us and in support of local traders, with locally sourced bar staff. The bar is open 12-12am, campers can bring a small amount of alcohol detailed in our FAQ section on our website however this is not allowed in the main arena and no personal spirits are allowed, Customers are searched on arrival.
Will the food merchants have their own insurance? What time will the food stop being served? Will they have suitable food hygiene ratings? Will there be cooking allowed within the campsite whilst the festival is taking place?
All traders by law have to be insured and we only allow traders with a 5* hygiene rating. All documents will be sent to the EHO ahead of the festival. Food will be served until 11pm.
How are sanitary facilities going to be provided? A suggestion was given that 15 Portaloos would be used but there was a general consensus that this was totally inadequate. What about showers/washing facilities? The original camp site does not usually cater to 499 people. How can you address this?
Twenty portaloos plus multiple urinals and disabled facilities are onsite with two cleanouts booked. Plus the permanent loos and showers at Kitsham Farm which is more than enough and the recommended amount from the sanitary facility company we are using, wo are also the providers of loos etc at Lepolooza. Showers are already onsite and require a shower pass.Toilets will be cleaned out twice. We have taken great care in finding the best possible sanitary provider in the area.
Would it be possible to provide a copy of the Fire Service advice regarding fire safety at the barn?
I will add the fire safety plan for the campsite and our risk assessment.
Once people are parked, will there be clearly identified times when they can leave and/or re-enter the site? The concern here is that if event attendees can continually come and go as they please there will be serious traffic flow issues.
As I’ve stated above, once people arrive they cannot come and go. This would cause too much disruption, this is communicated via email to all ticket holders.
Videos on YouTube of previous events suggest these were a full-on "rave" which doesn't exactly agree with the suggestion that the latter part of the evening will be an "acoustic event". Is the format different this year?
No, it’s not a full blown rave, the video you have seen is a different party which we hold at Wrights Farm. As clearly advertised this year we have added live bands and acoustic acts, and again we have done this to appeal to all age groups above 18 and the local community, I will add some example links of acts playing below.
What planning is in place for the possibility of a large number of "gate-crashers" without tickets who would cause serious local traffic issues and quite possibly lead to the on-site security being overwhelmed?
Firstly we have never ever had this problem, this is a professionally run licensed event, with strict ticket-only rules, there is only one way into the site and all ticket holders will be given wrist bands, security will patrol the site and heras fencing will be in place in necessary areas to stop any gatecrashers.
What are the arrangements for clearing and cleaning the site after the event has taken place?
We are very hot on this, all ticket holders are given two bin bags on arrival for recycling and waste, they are also told that anyone leaving any mess onsite will not be allowed back to any of our events if caught leaving the site with litter on their pitch they are escorted back to their pitch to remove it. We have litter pickers and waste management in place. The site will be cleared of any decor or waste by Sunday 14th.
Please note that clear signage and access routes will be placed around the site the morning or 11th July.
